Here’s a process we like to follow when choosing the right productivity tools for our needs.

1. Start with Your Business Needs

Before diving into the tool pool, take a step back. What challenges are you looking to address? 

Maybe you need a better way to manage projects, or perhaps you’re seeking a solution for seamless team communication. 

Pinpointing your specific needs will help you understand if you need a tool specific for one issue, or a more all-rounded tool that can cater for various different processes and tasks.

2. Think Long-Term: Scalability Matters

Your business isn’t static; it’s a living, breathing entity that’ll grow and evolve. So, the tool you choose today should be able to keep pace with tomorrow’s demands. 

Consider its scalability. Can it handle more users, projects, or data as your business expands? 

In my experience you have 2 options here. You can either go for a tool that’s specialized in small to medium sized businesses. These tools are usually much cheaper, but they give you exactly what you need, and are simpler to use. 

The downside of this option is that if your business grows quickly, you will soon realize that these tools are not offering enough flexibility and features for your needs, and you will probably need to change to something more sophisticated. 

With this change you have to consider that you will need to learn how to implement and use a new tool all over again.

On the other hand you can go immediately for a more full featured productivity tool that comes with all the bells and whistles. This is not always feasible as some of these tools can be extremely expensive, but often enough, 

The good news is that nowadays, most of these tools cater for small, medium and large-scale businesses. Which means they usually offer flexibility in terms of pricing, by having different tiers of subscriptions.. 

In these cases, you could get access to a large scale tool at the fraction of the price by only choosing a lower entry point (lowest cost subscription). This will have less features, but most probably these features would be enough for your current business needs.

As your requirements grow with the business, you can then opt for a higher-tier subscription, which will give you more features.

The downside of this option is that some of these tools might be an overkill for your needs, which means that while your business is still in the early stages, you might be paying slightly higher subscription costs for features you don’t really need. Also using these large-scale tools might have a steeper learning curve since they can be a bit more complicated to implement.

On the plus side, you know you have a tool that you can rely on for years to come without the need of having to change it in a couple of years, and learning how to use it from scratch.
